Privacy Policy

Ledger Bee Accounting (“Ledger Bee”, “we”, “us”, “our”) is a New Zealand bookkeeping practice. We take your privacy seriously and handle personal information in accordance with the New Zealand Privacy Act 2020 and the thirteen Information Privacy Principles.
This policy explains what we collect through our website at ledgerbee.co.nz, why we collect it, who we share it with, how long we keep it, and the rights you have over your information. It applies to visitors and prospective clients interacting with our website. Information you provide once we are formally engaged as your bookkeeper is also covered by our separate engagement letter.
1. Who is responsible for your information

2. What we collect
We only collect information that you give us directly, plus a small amount of technical data needed to run the site safely. Specifically:
Contact enquiries
When you submit our contact form we collect:
- Your name
- Your email address
- Your phone number (optional)
- The topic or service you are enquiring about (optional)
- The contents of your message
Booking a consultation
When you book a free introductory call we collect:
- Your name
- Your email address
- Your phone number (optional)
- Your business or trading name (optional)
- Your preferred date and time
- The services you are interested in
- Any notes you choose to share
Technical data
When you submit a form we briefly record your IP address in server memory. We use it only to apply short-term rate limits so the form is not abused by automated traffic. It is not stored persistently and it is not linked to your enquiry record.
Our hosting provider (Vercel) and our email provider (Google) also generate standard request and delivery logs as part of operating their services. See section 5.
Cookies and tracking
We do not use advertising cookies, analytics cookies, or third-party tracking pixels. Our website stores a small amount of non-identifying information in your browser’s local storage (for example, the cached list of IRD forms shown on our forms page) so the site loads quickly on return visits. You can clear this at any time through your browser settings.
3. Why we collect it
We use the information you provide to:
- Respond to your enquiry or message
- Confirm and run the consultation you booked
- Send you a confirmation email and, where you booked a call, a calendar invite with a video meeting link
- Keep a record of the enquiry so we can follow up properly
- Protect the website from spam and abuse
We do not send marketing emails from the contact or booking forms. If we ever introduce a newsletter or marketing list, it will be opt-in and you will be able to unsubscribe at any time.
4. Legal basis for collection
We collect this information because it is necessary for a function or activity of our business (responding to enquiries and providing the services you ask about), and because you have voluntarily provided it for that purpose. Providing the information is your choice. If you choose not to provide it, we may not be able to respond.
5. Who we share it with
We do not sell, rent, or trade your personal information. We share it only with the small number of trusted service providers we use to operate the website and our practice:
- Google Workspace (Gmail, Calendar, Sheets, Meet). Submissions are emailed to us, bookings create a calendar event with a Google Meet link, and a private record of each submission is logged to a Google Sheet for our own follow-up. Google processes this data on our behalf as a sub-processor.
- Vercel. Our website is hosted on Vercel’s infrastructure. Vercel processes incoming requests and generates operational logs (which may include IP addresses and request metadata) as part of delivering the site.
- Our database (PostgreSQL, hosted with a New Zealand or Australian region cloud provider). The database stores published reviews and articles managed by us, plus short-lived admin login tokens. It does not store your contact or booking enquiry content.
Some of these providers are based overseas, primarily in the United States and the European Union. By using our website you understand that your information may be processed outside New Zealand. We only use providers that offer privacy protections comparable to those required under New Zealand law.
We may also disclose your information where we are required to by law, or where we need to in order to defend our legal rights.
6. How we store and protect it
Submissions are kept in our Gmail mailbox and in a private Google Sheet that only Ilse can access. Bookings also create an event on our Google Calendar. Access to these tools is protected by strong passwords, two-factor authentication, and Google’s account security controls.
All traffic to and from our website is encrypted in transit using HTTPS. Form submissions are validated and sanitised on the server before being processed. We restrict who at Ledger Bee can access your information to the people who need it to respond to you.
No system can be guaranteed to be entirely secure. While we take reasonable steps to protect your information, we cannot warrant absolute security and you provide your information at your own risk.
7. How long we keep it
We keep enquiry and booking records for as long as is reasonably necessary to follow up, build a working relationship, and meet our record-keeping obligations. In practice:
- Contact enquiries and booking records are retained for up to seven years, which aligns with the standard record-keeping period for New Zealand business and tax records.
- If you ask us to delete your information sooner and we are not required to keep it, we will.
- Short-lived technical data (rate-limit records, login tokens) is deleted automatically within minutes to days.
8. Your rights
Under the Privacy Act 2020 you have the right to ask us to:
- Confirm whether we hold personal information about you
- Give you access to that information
- Correct information that is inaccurate, incomplete, or out of date
- Delete information we no longer need to hold
To make a request, email info@ledgerbee.co.nz. We will respond within twenty working days. We may need to verify your identity before releasing any information. There is no charge for a request, although in unusual cases involving large volumes of information we may pass on a reasonable cost.
If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
9. Children
Our services are aimed at business owners and operators. We do not knowingly collect personal information from anyone under the age of sixteen. If you believe a child has provided us with personal information, please contact us so we can delete it.
10. Third-party links
Our website links to external resources such as the Inland Revenue Department (IRD) and Xero. Those websites have their own privacy policies and we are not responsible for how they handle your information.
11. Changes to this policy
We may update this policy from time to time as our practice or the law changes. The latest version will always be at this URL and the effective date at the top will be updated. Material changes will be highlighted on the website.
